It's about working smarter not harder The fast pace of doing business today along with the changing demands of the marketplace have built in inefficiencies into the way many companies work. Whilst the way we do business may have changed to meet these new challenges, a lot of our internal processes and procedures have simply been "patched" to fit. In reality, how many times have you stood back and reviewed whether collectively the way you work still makes sense? Any business is in reality a machine with each function or department being a cog. If the points where the cogs meet move apart then the machine stops. If we have more cogs than necessary we consume energy unnecessarily and slow the whole machine down. What is needed is regular review of the business, starting by charting all the "inputs" and "outputs" required to meet the market needs. Then by looking at all the necessary steps to get you from an input to an output we can identify all the processes required. This will in turn identify the data required and so on. Eventually a process flow chart and data map will be available upon which you can overlay the staff functions. This will in turn identify where the interface points are between people and the information required to be communicated between them. As with most things in business life some of the best solutions are the simplest. Most simple solutions are also common sense. And a lot of the time people will say I already know that when attending training sessions or gaining business advice . But in reality knowing about it and practising it on a daily basis end up being miles apart. Rarely do we take the time to sit back and look at the way we do business until its too late. Most people take the view that "If its not broke then dont fix it". Commonly, however, there are many "fractures" in the way we work which can cause immense inefficiencies and huge costs on the business. Only when we get a bad year do we focus on such things. Why? We only have to look to the markets in the Far East who promote constant change to see how effective it is. In Toyota every employee spends 15 minutes a day working in improvement teams, looking to constantly improve they way they do their business. And there is no reason why such approaches wont work here. So why dont we try them!
